ARTICLE 16: TRANSPARENCY, RECORDS & DATA
16.1 Mandatory Registers:
The Club shall maintain the following registers (Physical + Digital):
Access to these records is restricted to the President, Vice-President, Secretary, Treasurer, and appointed Auditor.
16.3 Data Ownership:
All official race data, member databases, and race results are the sole intellectual property of KPTC.
Unauthorized sale, circulation, or publication of this data is prohibited.
16.4 Privacy & Media Consent:
By joining the Club, members consent to their name and race results being published.
They also consent to their image being used in Club-related photographs and videos.
Sensitive personal and financial data will be kept confidential and secure.
16.5 Record Retention:
All general records must be retained for a minimum of 10 years.
Disciplinary and legal records must be retained indefinitely or until the concerned matter is fully resolved.
