ARTICLE 9: MEMBER REQUESTS & OFFICIAL COMMUNICATION

9.1 Official Channel for Queries:
All questions, doubts, and formal requests from members MUST be directed exclusively to the Managing Committee through official channels only (e.g., a dedicated official WhatsApp/Telegram group for queries, direct message to the Secretary, or official club email).
Creating separate sub-groups or private chats for official Club discussions is strictly prohibited and will be considered a breach of unity.

9.2 Review Process:
The Committee will formally review all legitimate requests at their next scheduled meeting or within 30 days of receipt.
Requests are evaluated based on:
(a) Alignment with Club objectives
(b) Practicality and financial feasibility
(c) Overall fairness to all members

9.3 Spam Control:
Identical or near-identical requests submitted simultaneously by 10 or more members will be treated as a single request to prevent coercion and spamming of the process.

9.4 Final Authority:
The final authority to accept or reject any request rests solely with the President and Vice-President.
All requests and the Committee's decisions must be meticulously recorded in the Minute Book.

9.5 Response Time:
The Committee shall make every reasonable effort to respond to all legitimate member queries within 24 to 48 hours of receipt.

9.6 Abuse of Process:
Submitting repetitive, trivial, or abusive requests will be considered a nuisance and may lead to disciplinary action under Article 19.
